Privacy Policy
Last updated: 8 October 2026
TurnManager Limited ("TurnManager", "we", "us") is a company registered in New Zealand. This policy explains what personal information we collect through our website, our software, our customer portal and our mailing lists, how we use it, who we share it with, and the choices you have. We handle personal information in accordance with the New Zealand Privacy Act 2020.
1. Who we are and how to contact us
TurnManager Limited
Registered office: 16 Whiting Grove, West Harbour, Auckland 0618, New Zealand
Email: info@turnmanager.com
This policy applies to www.turnmanager.com, docs.turnmanager.com, the TurnManager desktop software, our customer portal, our support services and systems, and our mailing lists.
2. What we collect
Website visitors
- 1. Technical information that your browser sends automatically, such as your IP address, browser type, device type, the pages requested and the date and time. This is recorded in server and network logs, including by Cloudflare, which provides our DNS, security, and content delivery.
- 2. If you contact us through a form or by email, the details you give us and the content of your message.
Mailing list subscribers
- 1. Your name (if provided), email address, and, optionally, your company.
- 2. A record of when and how you subscribed, so that we can show you opted in.
- 3. Our email service, Zoho Campaigns, records whether messages were delivered, opened, and clicked. We use this information to maintain the list and understand overall interest, not to profile individuals.
Customers and trial users
- 1. Account details: name, email address, company, country, and billing address. You may also choose to give us your job title, department, and phone number(s).
- 2. Licence and activation records: licence keys, the licence tier and entitlement dates, and a machine fingerprint (an identifier generated by the software to tie a licence activation to a particular computer).
- 3. Software checks: when the software validates a licence or checks for updates, our servers receive the licence key, machine fingerprint, software version, IP address, and timestamp.
- 4. Purchase information: we sell through Paddle, which acts as the merchant of record. Paddle collects and processes your payment details and sends us the information we need to issue and support your licence, such as your name, email address, country, billing and tax details, and order history. We do not receive or store your payment card number.
- 5.Support records: your support requests, our replies, and any files you choose to attach.
- 6. Portal sign-in data: your login credentials (passwords are stored in hashed form) and session information.
What we do not collect
The TurnManager software does not send usage analytics or telemetry. Your settings, network diagrams, traffic data, and project files stay on your computer and are never uploaded to us. The software only contacts our servers to validate and manage your licence and to check for and download updates.
3. How we use personal information
- 1. To provide, license, activate, and support the software, and to enforce licence terms (including preventing a licence from being used on more devices than it allows).
- 2. To process orders, renewals, and invoices, and to meet our tax and accounting obligations.
- 3. To respond to enquiries and support requests.
- 4. To send you service messages, such as licence, renewal, security, and update notices.
- 5. To send marketing and product news by email.
- 6. To keep our website, systems, and customers secure, and to detect and prevent fraud and abuse.
- 7. To comply with the law.
We do not sell personal information.
4. Who we share it with
We share personal information only with service providers who help us run the business, and only to the extent needed for them to do so:
- 1. Paddle.net (payments, tax, and order management) — see Paddle's privacy policy.
- 2. Zoho Campaigns and Zoho CPaaS (mailing lists and email delivery) — see Zoho's privacy policy.
- 3. Cloudflare (DNS, secure connections, and content delivery) — see Cloudflare's privacy policy.
Our customer portal, licensing server, and support systems are run on our servers, so the information in them is not passed to another company for processing, except for data sent to the above services where necessary for those services to be provided.
We may also disclose information where the law requires it, to protect our rights or safety, or as part of a sale or restructure of the business (in which case the new owner would be bound to protect your information in line with this policy).
5. Where your information is stored
Our customer, licensing, and support databases and systems are hosted in New Zealand. Our mailing list and email data is stored by Zoho. Cloudflare operates a global network, so website traffic data may be processed in other countries. Paddle and Zoho and their related companies may also process information in countries outside New Zealand, including the United Kingdom, the United States, and elsewhere.
6. Cookies and similar technologies
- 1. Essential cookies: our customer portal uses cookies to sign you in, keep your session active, and protect against cross-site request forgery. These are necessary for the portal to work.
- 2. Security cookies: Cloudflare may set cookies to detect bots and protect the site.
- 3. Fonts: our website fonts are served from our own domain, so your browser does not contact a third-party font provider.
- 4. No advertising or tracking cookies.
7. How long we keep information
- 1. Customer, licence and order records: for as long as you hold a licence or account, and then for seven years to meet New Zealand tax and accounting record-keeping requirements.
- 2. Support records: for three years after the last activity on the request.
- 3. Mailing list: until you unsubscribe. After that we keep only your email address on a suppression list so that we do not email you again.
- 4. Invitation recipients who do not subscribe: deleted within twelve months.
- 5. Server and security logs: for up to twelve months.
We may keep information for longer where the law requires or where it is needed to resolve a dispute.
8. Security
We take reasonable steps to protect personal information from loss, misuse and unauthorised access, including encrypted connections (HTTPS), restricted access to our servers and databases, hashed passwords, and keeping our systems up to date. No system is completely secure. If a privacy breach occurs that is likely to cause serious harm, we will notify the affected people and the New Zealand Privacy Commissioner as the law requires.
9. Your rights
You can ask us at any time to:
- 1. confirm whether we hold personal information about you and give you a copy;
- 2. correct information that is wrong; or
- 3. delete your information (subject to the retention periods above, where we are required to keep some records).
You can unsubscribe from marketing emails at any time using the link in every email, or by contacting us. Service messages about your licence or account will continue while you are a customer.
Email info@turnmanager.com to make a request. We will respond within 20 working days, and may need to verify your identity first.
Visitors and customers in the EU or UK
If you are in the European Economic Area or the United Kingdom, we process your personal information on these grounds: to perform our contract with you (account, licence, support, and orders); to meet our legal obligations (tax and accounting); for our legitimate interests in running, securing and improving our business and supporting our customers; and with your consent (mailing list), which you can withdraw at any time. You also have the right to access, correct, erase, restrict or object to our processing of your information, to receive a portable copy of information you gave us, and to complain to your local data protection authority.
10. Complaints
If you have a concern about how we have handled your personal information, please contact us first and we will try to resolve it. You also have the right to complain to the New Zealand Office of the Privacy Commissioner at www.privacy.org.nz.
11. Children
TurnManager is professional software and our website is not directed at children. We do not knowingly collect personal information from anyone under 16.
12. Changes to this policy
We may update this policy from time to time. The date at the top shows when it was last changed. If we make a significant change, we will notify mailing list subscribers and customers by email.
